Under the general direction of the Director and the Deputy Director, the Financial Controller is responsible for a broad range of financial management functions in support of the general operation of the Institute as well as the preparation of internal and external reports in compliance of regulations/terms/conditions issued or required by government/sponsor/donor.
The mission of the Fields Institute is to enhance mathematical activity in Canada and internationally by bringing together mathematicians from Canada and abroad. The Institute supports research in pure and applied mathematics, statistics and computer science, as well as collaboration between mathematicians and those apply mathematics in areas such as engineering, the physical and biological sciences, medicine, economics and finance, telecommunications and information systems.
Financial management functions include administering the operating budget, overseeing the recording of expenditures including payroll and income as well as processing payroll, monitoring accounts and records (Operating fund, bank and investment accounts and restricted funds including endowments and trust funds), analyzing and reporting on external funding grants, investing forecasted excess funds in hand to maximize investment income, and implementing improved internal controls and financial management practices.
We are looking for an energetic and self-motivated professional who will:
develop and implement internal controls and processes, and provides recommendations for improvements to promoting effective and efficient processes;
guide the financial planning process, including planning, budgeting, forecasting and variance analysis, that aligns with the Fields strategy;
provide ongoing income and expense management, including developing new management reporting and preparing existing management reporting and analytical commentary to the senior management, the Finance Committee, and the Board of Directors;
liaise and coordinate audit process with our external auditors for year-end financial report preparations and filing;
preparing the Annual Financial Statements of the Fields Institute, external reports such as the Annual Registered Charity Return, T3100, for the CRA, the Annual R&D Expenses survey for Statistics Canada, any returns required by the IRS; financial reports required by sponsors and donors; the HST return as required by the CRA.
guide and lead accounting employees to ensure accurate financial processes are being used according to the policies of Fields;
oversee the monitoring, tracking, and preparation of vacation entitlement reports for all the staff;
maintain confidential personnel files and documentation.
University degree in business, commerce, accounting, and either a CA/CPA/CGA designation or an equivalent combination of education and experience in financial management.
Three (3) to five (5) years of related experience with financial management, including payroll function, preferably in a post-secondary environment or a not-for-profit organization. Proven record of applying a sound financial and accounting principles as well as practices with the highest integrity. Experience in working collaboratively, effectively, and professionally with people at all levels of the organization.
Excellent oral and written communication, interpersonal, organization and time management.
Advanced proficiency with Word, Excel, and PowerPoint. Excellent knowledge of SAP accounting software package.
