Description:

Working independently under the general direction of the Chief Administrative Officer (CAO), the incumbent provides senior level support to the CAO in managing the administrative affairs of the Division in the areas of Finance, Operations, Human Resources, Health and Safety and general management and administration. 

As a key representative of the Office of the CAO, the incumbent communicates and interacts with all members of the OISE community, members of the University of Toronto’s administration and service areas, and external parties to ensure that OISE’s administrative responsibilities are performed efficiently and effectively. Responsibilities will include business process development, policies and legislation compliance, various guidance, direction and training on financial and procurement administration and system for operational efficiencies and compliance; and variety ad-hoc projects, analyses and issue management with high complexity and impact on OISE’s operations and resources. Key areas of responsibility include: management of the Office of the Chief Administrative Officer; meeting support; issues management, including community liaison; management of contracts and negotiations; and management of services marketing and communications support for the various function areas. 

The incumbent also acts as the Business Officer for the Office of the CAO and the OISE Dean’s Office and will be responsible for the coordinating the overall financial, human resources, operational and administrative support functions required for the effective operation of the Dean’s Office. 
 

Qualifications:

I. EDUCATION:
University degree in Business Administration, Commerce, Finance, Accounting or related discipline or equivalent combination of education and experience.

II. EXPERIENCE:
Minimum five years’ related financial, accounting and administrative experience. Experience in interpreting, implementing, and developing financial policies and procedures. Experience in budgeting, forecasting, variance analysis, accounting procedures, financial controls, management reporting and contract law. Experience in a University setting is an asset. 

III. SKILLS/KNOWLEDGE:
Strong oral, written, interpersonal and organizational skills. Demonstrated experience with and knowledge of finance, financial management, budgeting, forecasting, internal control, financial policies and procedures. Strong aptitude for numbers and proven attention to detail and accuracy. Strong analytical skills. Knowledge of AMS – FIS, HRIS and Usource. Advanced knowledge of Microsoft Word, PowerPoint, Excel, Outlook – email and Calendar. Knowledge of OISE and University policies and procedures and asset.

Knowledge and understanding of contract law, contract formulation, intellectual property, indemnification, insurance and tax as they relate to supply and service contracts. Familiar with government legislation and university policies on finance, human resources, procurement, health and safety, record management, etc. 

IV. OTHER:
A high level of professionalism, independence, judgement, and the ability to communicate, both orally and in writing effectively is always required. Proven ability to exercise diplomacy and maintain the highest level of confidentiality. Ability to work collaboratively and effectively as part of a team. Proven ability to work well under pressure, prioritize workload, multi-task, manage multiple priorities as well as deal with unexpected emergencies as they arise. Flexibility and problem solving orientation. Ability to deal with senior University Officers in a manner which facilitates cooperation and consensus building. Strong advocate of equity, human rights and diversity issues.
